Administrative Assistant - Inventory - Edmonton, AB

Please note this is a 12 month temporary assignment with the possibility of permanent placement.

Reporting to the Aftermarket Services (AMS) Operations Manager, the Administrative Assistant – Inventory will work closely with the purchasing group in completing accounts payable process and recordkeeping and assist operations with inventory transactions and processing.

Key position functions include:

  • Perform all accounts payable functions (match invoices to purchase orders, process vouchers, process credits, answer and make phone calls to vendors, etc.)
  • Ensure all GL’s are coded correctly prior to processing
  • Check statements ensuring all outstanding invoices are paid
  • File all accounts payable documents as required
  • Process and complete remanufacturing work orders as needed
  • Remove soft parts used to repair rental and customer property equipment as needed
  • Change part numbers as required
  • Remove all items deemed as scrap from the ERP system
  • Complete physical count batches and enter all counts
  • Process inventory reports as requested
  • Process transfers between all warehouses
  • Process bi-weekly timekeeping and coordinate with Payroll to ensure information is correct and make any corrections as needed; run payroll reports
  • Enter vacation days into system
  • Open and sort incoming mail
  • Perform other related duties as assigned

Preferred candidates will possess a combination of the following:

  • Minimum high school diploma; related post-secondary office administration and/or accounts payable certificate/diploma preferred
  • 2 to 3 years’ experience working in accounts payable
  • Previous office administration experience in supporting a manufacturing environment an asset
  • Previous inventory management experience preferred
  • Computer experience using MS Office (Word, Excel and Outlook); TimeZone, SharePoint, ERP software 
  • Ability to multi-task in a fast-paced environment
  • Strong communication (written and oral), interpersonal, organizational and time management skills   
  • Ability to work independently and within a team environment
  • Ability to analyze complex problems and identify solutions
  • Attention to detail and accuracy
